Reservation, Cancellation & Payment Policy

This policy applies to private villa stays, suite reservations, and golf cart or scooter rentals reserved with a stay. By confirming a booking and submitting payment, guests accept the terms below.

Booking deposit

USD $500, non-refundable, required to secure the reservation.

50% balance payment

Requested between 2 months and 1 month before arrival. Non-refundable.

Small date adjustments

A few days before or after the booked dates may be reviewed at no extra cost, subject to availability.

Credit card fee

5% processing fee applies to future card payments. The USD $500 deposit is exempt.

Booking Deposit

A non-refundable USD $500 deposit is required to confirm and secure any reservation at Mer & Sel Villa & Suites, including private villa stays, suite reservations, golf cart rentals, and scooter rentals.

Due to our limited number of accommodations and high seasonal demand, this deposit is strictly non-refundable.

The USD $500 booking deposit is exempt from the 5% credit card processing fee.

Reservation Changes

Small date adjustments of a few days before or after the original reservation dates may be accommodated at no extra cost, subject to availability and management approval.

If guests need to reschedule their stay by more than a couple of weeks, they must contact us directly. These requests may be reviewed depending on availability, existing reservations, and management approval.

Approved date changes are not guaranteed and remain fully subject to availability and management discretion.

Cancellations

All deposits and advance payments are non-refundable.

If a guest cancels their reservation, fails to arrive, arrives late, leaves early, or does not use part of the booked stay or rental period, no refund or credit will be issued.

This includes, but is not limited to:

  • Unused nights, late arrivals, early departures, or no-shows.
  • Unused golf cart or scooter rental days.
  • Changes in personal travel plans.
  • Weather conditions.
  • Flight, ferry, or transportation delays or cancellations.

Payment Schedule

Reservation deposit: A non-refundable USD $500 deposit is required to secure the booking.

50% balance payment: Between 2 months and 1 month before arrival, management will contact guests regarding payment of 50% of the remaining reservation balance in order to finalize the booking. This payment is non-refundable.

If this payment is not received by the requested deadline, the reservation may be released and the deposit will remain non-refundable.

Remaining balance: The remaining balance may be paid before arrival or upon arrival at the kite center.

Payment Methods & Credit Card Fees

Accepted payment methods include cash in U.S. Dollars, cash in Eastern Caribbean Dollars, Zelle for U.S. customers, bank wire transfer, and credit card.

Credit card payments are subject to a 5% processing fee. This fee does not apply to the initial USD $500 booking deposit.

To help guests avoid the 5% credit card processing fee on future payments, we recommend using Zelle, bank wire transfer, or cash payment where possible.

Euro cash payments may be accepted, but a different exchange rate may apply. Guests should contact us before arrival to confirm the current exchange rate.

There is a local ATM available on Union Island for guests who need to withdraw Eastern Caribbean Dollars.

Golf Cart & Scooter Rentals

Golf carts and scooters reserved with a stay are subject to the same non-refundable booking and cancellation policy.

Guests are responsible for safe use of the vehicle, any damage caused during the rental period, lost keys or accessories, traffic fines or violations, accidents, and misuse.

Management reserves the right to refuse, cancel, or stop a rental if there are safety concerns, misuse, or damage risk.

No refunds will be issued for unused rental days, late pickup, early return, weather, or personal schedule changes.

Travel Insurance

We strongly recommend that guests purchase travel insurance covering trip cancellation, medical emergencies, airline delays or cancellations, weather disruptions, missed connections, and emergency evacuation.

This is especially important when traveling to small Caribbean islands, where flights, ferries, weather, and inter-island transportation can sometimes affect travel plans.

Acceptance of Policy

By confirming a reservation and submitting payment, guests acknowledge and accept this reservation, cancellation, and payment policy.

Any exception to this policy must be confirmed in writing by management. Management reserves the right to update or adjust this policy when necessary.
